Depending on the service and what you choose to discuss, some information may be sensitive or personal to you. Please provide only information that is relevant and that you are comfortable sharing through the relevant service.

Where Dragon Lion intentionally collects sensitive information, we will explain why it is needed and seek consent where required.

If you have particular privacy needs, please contact us before providing information or participating in a service. We will explain what arrangements we can reasonably offer so that you can make an informed choice.

Payment card details are handled by our payment provider. Dragon Lion may receive transaction, billing and payment-status information, but does not ordinarily receive or store your full card number.

Our services are intended for adults. We do not knowingly seek personal information from anyone under 18 without appropriate permission. Please contact us if you believe a person under 18 has provided personal information inappropriately.

  • service providers that support registration, email, payment, scheduling, video conferencing, recording, transcription, file storage, learning communities, analytics, advertising or AI-assisted work; and
  • publicly available professional sources where relevant to an enquiry or service.

If you provide information about another person, please make sure you are entitled to do so and avoid providing more information than is needed.

Where it is practical, you may contact us without identifying yourself or by using a generalised example. We may need your identity or contact details to register you, take payment, provide access, keep professional records or respond to a particular request.

We do not sell or trade personal information.

5. Coaching and professional learning information

Coaching and professional learning can involve information about your work, career, organisation, goals, decisions or experiences. We use this information to provide the service, prepare for sessions, maintain continuity and support the work you have asked us to do.

You control what you choose to share. During group sessions, you may generalise an example, work privately or use an example provided by Dragon Lion. You are not required to disclose your own workplace material in order to participate.

Please do not provide protected, classified, confidential, commercially sensitive or third-party personal information unless you are authorised to do so and the method of sharing is appropriate. Your organisation’s policies and requirements continue to apply.

6. Live sessions, recordings and transcripts

Some Dragon Lion sessions are recorded or transcribed. Where this applies, the recording arrangements will be explained in the registration information, before the session or at the beginning of the session.

An official recording or transcript may capture:

  • your displayed name;
  • your image and voice;
  • attendance information;
  • chat messages, questions and comments; and
  • examples or other information you choose to share.

The specific arrangements may explain who will receive a complete recording, whether an edited replay will be distributed separately and what participation choices are available. Dragon Lion may edit recordings to remove participant discussions, workplace examples, personal information or material unsuitable for wider distribution.

People attending a group session will be able to see or hear information you choose to share with the group. Dragon Lion asks participants to treat each other’s contributions with care, but cannot guarantee the conduct of every participant. Please avoid sharing information that cannot safely be discussed in the group.

The rules about participant-made recordings, screenshots, transcripts and recording tools are set out in our Terms and Conditions.

7. Digital platforms, connected systems and AI-assisted tools

Dragon Lion uses third-party digital services to administer and deliver its work. These may include website, registration, email, payment, scheduling, video-conferencing, recording, transcription, file-storage, community, analytics, advertising and AI-assisted services.

Some of these services are connected through integrations or automated workflows. This means personal information may move between authorised systems where reasonably necessary to manage your registration, communicate with you, deliver a service or complete another purpose described in this policy.

AI-assisted and transcription tools may process identifiable information. This can include names, contact details, correspondence, documents, displayed names, images, voices, chats, session contributions, recordings and transcripts.

Dragon Lion uses AI-assisted tools for work such as administration, organisation, analysis, drafting and service delivery. Where AI-assisted output is used in client-facing work or in making a material decision about an individual, it is subject to appropriate human judgement. Where practical, we limit or remove identifying details before information is processed by an AI-assisted tool. Dragon Lion does not use AI alone to make decisions that could significantly affect a person’s rights or access to a service.

The storage, processing and model-training practices of digital and AI providers vary according to the provider, product, account, settings and integration being used. Dragon Lion applies available privacy and security settings, limits access and uses personal information only where it is reasonably connected with an authorised business or service purpose.

8. Sharing information with service providers and others

We may share personal information with service providers that help us operate the business and deliver services. These may include providers of:

  • website hosting and technical support;
  • registration, forms, email and customer communications;
  • payments and accounting;
  • scheduling and video conferencing;
  • recording, transcription and file storage;
  • learning communities and digital content delivery;
  • analytics, social media and advertising; and
  • AI-assisted and connected workflow services.

These providers handle information under their own terms and privacy practices. We use reasonable privacy, security and access settings available to us.

We may also disclose information:

  • to a professional adviser, contractor or support person who needs it to assist Dragon Lion and is expected to treat it appropriately;
  • where you have asked or authorised us to do so;
  • where required or authorised by law, court order or a lawful government request;
  • where reasonably necessary to protect the rights, safety or property of Dragon Lion, a participant or another person; or
  • as part of a sale, transfer or restructure of the business, subject to appropriate confidentiality arrangements.

We do not publish an identifiable testimonial, participant story or case study for marketing without permission.

9. Overseas processing

Some providers used by Dragon Lion store or process information outside Australia, including in the United States and other countries in which those providers or their infrastructure operate. Provider locations and technical arrangements may change over time.

When we use these services, information may be subject to the laws and lawful access arrangements of the relevant country. We take reasonable care in selecting services and use the privacy and security controls available to us.

10. Marketing communications

Dragon Lion may send you information about relevant services, resources or events where you have consented or where otherwise permitted by Australian law.

Marketing messages identify Dragon Lion and include a way to unsubscribe. You can opt out at any time by using the unsubscribe link or contacting us at info@dragonlion.com.au. We will action opt-out requests as required by law.

Opting out of marketing does not prevent us from sending communications needed to deliver something you requested or purchased, such as confirmations, reminders, access information, changes to a service or responses to your enquiry.

11. Cookies, analytics and advertising

The Dragon Lion website and related pages may use cookies, pixels and similar technologies. These help us:

  • operate and improve the website;
  • understand website traffic and visitor behaviour;
  • remember preferences;
  • measure email, advertising and campaign performance; and
  • show relevant Dragon Lion advertising on other platforms.

These technologies may collect information such as your IP address, device and browser details, pages visited, referring website and actions taken on the website. Third-party analytics, social media and advertising providers may process this information under their own privacy policies.

You can control cookies through your browser and, where available, the settings provided by the relevant platform. Blocking some cookies may affect how parts of the website operate.

12. Storage, security and retention

Dragon Lion stores information in password-protected systems and uses reasonable safeguards such as multifactor authentication and access controls. Access is limited to people and service providers who need the information for an authorised purpose.

No method of electronic storage or transmission is completely secure. If a data breach occurs, Dragon Lion will investigate and take the steps reasonably required in the circumstances, including notifications required by applicable law.

We keep personal information and secure backups for as long as reasonably required for service delivery, professional and business records, continuity, legal and accounting obligations, complaints or disputes, and legitimate operational purposes.

Coaching records, including session notes and related materials, may ordinarily be retained for up to seven years from the final session where reasonably required for continuity, professional records, insurance, complaints or disputes. Records may be deleted earlier where they are no longer required.

Unedited recordings and transcripts containing participant contributions are retained only for as long as reasonably needed to provide the relevant service or replay and complete any necessary editing, unless different arrangements are explained for that service. Edited recordings may be retained while the relevant learning product or resource remains in use.

Where applicable law requires information that is no longer needed to be destroyed or de-identified, Dragon Lion will take reasonable steps to do so. Information may remain in secure backups maintained for business continuity.

13. Access, correction and other requests

You may contact us to:

  • ask what personal information we hold about you;
  • request access to that information;
  • ask us to correct information that is inaccurate, out of date, incomplete or misleading;
  • withdraw marketing consent; or
  • ask whether particular information can be deleted or de-identified.

We may need to confirm your identity before acting on a request. In some circumstances, we may be unable to provide access or delete information, including where another person’s privacy is involved or the information is required for legal, accounting, professional, security or dispute-management purposes. If we cannot fully meet a request, we will explain why where reasonable and lawful.

To make a request, email info@dragonlion.com.au.

14. Public information and links

Information you choose to publish publicly, such as a social media comment or testimonial, can be seen and retained by other people. Even if the original content is later removed, copies may remain in screenshots, archives, search results or other systems outside Dragon Lion’s control.

The Dragon Lion website and communications may link to third-party websites or services. Dragon Lion is not responsible for the privacy practices of those third parties. Please review their privacy information before providing personal information.

15. Privacy questions and complaints

If you have a question, request or concern about how Dragon Lion has handled your personal information, please contact:

Dragon Lion
Email: info@dragonlion.com.au

We will acknowledge a privacy complaint promptly. We will consider the concern, may ask for further information and will aim to provide a substantive response within a reasonable time.

If the Privacy Act applies to the matter and you are not satisfied with our response, you may be able to make a complaint to the Office of the Australian Information Commissioner. Information is available at oaic.gov.au.

16. Changes to this policy

Dragon Lion may update this Privacy Policy when its services, systems, legal obligations or information-handling practices change. The current version and its last-updated date will be published on the Dragon Lion website.

Where a change materially affects how we use information already collected, we will take reasonable steps to provide additional notice or seek permission where required.
